
POOL RENTAL AGREEMENT
SECTION 1: POOL PARTY RENTAL OVERVIEW
1.1 Use of Space
This section of the agreement outlines the specific terms regarding the use of the
pool area for the event:
● Area Description: The pool area available for rental includes swimming pool
approx 9 x 4.5metres), surrounded by a patio and decked area of
approximately 1500 square feet. There is a beach area (approx 2 - 8 metres)
and extensive garden area and paddock for parking. Amenities such as
poolside chairs, tables, umbrellas, and restroom facilities are included in the
rental. The pool area is landscaped with furniture, bar, fire pits, bushes, trees,
large vases and potted plants.
● Permitted Uses: The renter is permitted to use the pool area for the purpose
of hosting a private party or event. This includes access to the swimming pool,
deck area, and associated facilities like restrooms and changing areas. The
renter may also utilise any provided pool furniture and equipment.
● Restrictions: The following restrictions apply to the use of the pool area:
The pool area must be vacated by the time agreed to comply with local
noise ordinances.
● No alterations or decorations may be attached to the pool structure,
acoustic fence, pool building or surrounding trees and fixtures without
prior approval.
● The Pool Engine Room is out of bounds for guests.
● Glass by the pool is prohibited for safety reasons.
● Capacity Limit: The maximum number of guests allowed in the pool area is
100 to ensure safety and compliance with fire safety regulations.
SECTION 2: DURATION AND ACCESS
2.1 Rental Period
This part of the agreement specifies the exact duration for which the pool area will be
rented out:
● Rental Start and End Times: The pool and pool area rental has been agreed between the host and pool manager. Additional times have been agreed to set up the event and
take it down.
● Access for Setup: The renter will have access to the pool area for setup
purposes before the event start time. This period should be used for
decorating and arranging any necessary equipment.
● Cleanup and Vacating Time: The renter is responsible for ensuring that the
pool area is cleaned up, All Rubbish placed in black bags and all plastic
glasses are collected in trays. Additional time after the event end time is
allowed for cleanup and agreed by the pool owner. All personal belongings
and rental equipment must be removed by this time.
2.2 Early Access and Late Departure
Details regarding early access or late departure:
● Early Access: If the renter requires access to the pool area earlier than the
stipulated time, prior arrangement must be made with the pool owner/
manager, and may be subject to additional charges.
● Late Departure: In case of late departure, beyond the agreed vacating time,
the renter may incur additional fees at a rate of £200 per hour. This is to
compensate for any inconvenience or scheduling conflicts caused by the
extended use of the space.
SECTION 3: FINANCIAL TERMS
3.1 Fees and PaymentThis portion of the agreement details the financial obligations associated with the
rental of the pool area:
● Rental Fee: The rental fee has been agreed between the event host and the pool manager. This fee includes access to the pool, surrounding deck,
and any additional amenities outlined in the contract.
The rental fee is based on the agreed-upon duration and amenities provided.
● a 25% Deposit secures the booking.
3.2 Cancellation Policy
Terms regarding the cancellation of the pool party rental:
● Cancellation by Renter: If the renter wishes to cancel the event, notice must
be given at least 14 days before the scheduled event date. Cancellations
made before this deadline will result in a full refund of the deposit.
Cancellations made after this deadline may result in forfeiture of the deposit or
a portion of the rental fee.
● Cancellation by Pool Owner/Manager: In rare cases where the pool owner/
manager must cancel the booking (due to unforeseen circumstances,
maintenance issues, etc.), the renter will be notified immediately, and a full
refund will be issued.
SECTION 4: RULES AND REGULATIONS
4.1 Event Rules
This section establishes the specific rules and guidelines to ensure a safe and
enjoyable event at the pool area:
Safety Rules:
● All guests must comply with posted safety signs and pool rules.
● Lifeguards, if required or provided, must be obeyed at all times.
● No running, pushing, or dangerous behaviour is permitted in the pool
area.
Fire Pits:
By using the wood firepits you agree to use them responsibly and at your own risk. Do not leave the fire unattended, and always supervise children. Only burn the firewood provided. Understand tehat firpots can become extremely hot. Pool Management is not liable for any injury or damage resulting from misuse.
Behavioural Expectations:
● Food is not be been eaten in the pool.
● Food and beverages are permitted in designated areas only.
● Any Alcohol must be served in compliance with UK laws, including age restrictions.
● No glass is allowed in the pool area.
Noise Policy:
● Music must not exceed 70db. This rule is accordance with Council
guidelines.
● Guests are expected to leave the property as quietly as possible.
● Noise levels may be monitored from a distance at points during the hire
time.
● If noise levels exceed the required levels the pool owner has the right to
terminate the event.
4.2 Compliance and Penalties
Details on compliance with rules and potential penalties for violations:
● Rule Enforcement: Pool staff or designated representatives have the
authority to enforce these rules. Non-compliance may result in immediate
expulsion from the pool area or additional charges.
Penalties for Damage: The renter will be held financially responsible for any
damage to the pool area or related facilities caused by their actions or those of
their guests.
● Legal Compliance: The renter agrees to abide by all local laws and
ordinances, including those related to noise, alcohol consumption, and public
conduct.
SECTION 5: LIABILITY AND INSURANCE
5.1 Liability Waiver and Insurance
This part of the agreement outlines the responsibilities and liabilities associated with
the use of the pool area:
● Renter's Liability: The renter assumes all responsibility for any accidents,
injuries, or damages that occur during the use of the pool area. This includes
incidents and injuries involving the renter's guests.
● Liability Waiver: By signing this agreement, the renter waives the right to hold
the pool owner/manager liable for any accidents or injuries that occur during
the event, except in cases of gross negligence or intentional harm by the pool
owner/manager.
5.2 Indemnification
Details about the indemnification clause:
● Indemnification by Renter: The renter agrees to indemnify and hold
harmless the pool owner/manager from any claims, damages, losses, or
expenses (including attorney’s fees) arising out of the use of the pool area.
● Scope of Indemnification: This indemnification covers any form of legal
claim, including but not limited to personal injury, property damage, and
breaches of contract.
5.3 Compliance with Safety Regulations: Ensuring compliance with all relevant safety regulations:
● Adherence to Safety Standards: The renter is responsible for ensuring that
all event activities comply with local safety standards and regulations,
particularly those related to pool safety.
● Emergency Procedures: The agreement should outline the emergency
procedures in place, including the location of safety equipment and the
process for handling accidents or emergencies.
SECTION 6: AGREEMENT AND SIGNATURES
6.1 Signatory Confirmation
This final section of the agreement is where both parties formally agree to the terms
and conditions outlined in the contract:
● Acknowledgement of Terms: A statement confirming that both the renter and
the pool owner/manager have read, understood, and agreed to the terms and
conditions of the rental agreement. It asserts that all parties are entering into
this agreement willingly and with full understanding of their responsibilities.
